LED Dance Floor Rental

Cancellation Policy

Booking & Payment: A non-refundable retainer is required to secure your event date. Your booking is not confirmed until the retainer is received. The remaining balance must be paid in full before the event. Cancellation & Rescheduling: Retainers are non-refundable. Rescheduling may be allowed based on availability and may be subject to an additional fee. If we are unavailable on the new date, the booking will be considered canceled and the retainer will not be refunded. Setup Requirements: The client must provide a clean, level, and safe setup area with enough space for the dance floor. The floor cannot be placed on grass, dirt, gravel, sand, or uneven surfaces unless approved in advance. The client is responsible for confirming that the venue allows an LED dance floor and providing access for setup and pickup. Outdoor Events & Weather: LED dance floors are primarily intended for indoor use. Outdoor setups must be approved in advance and protected from rain, water, excessive heat, and other weather conditions. If conditions become unsafe or may damage the equipment, All Moments Captured LLC reserves the right to cancel, delay, or stop service. No refund is guaranteed in these circumstances. Damage & Proper Use: The client is responsible for the dance floor and equipment during the rental period. Food, drinks, smoking, vaping, open flames, dragging furniture, intentional damage, or unsafe use are not permitted on or around the dance floor. The client may be charged for any damage, missing equipment, or excessive cleaning caused by the client, guests, vendors, or other individuals at the event. Rental Time: The rental period begins at the agreed-upon start time. Delays caused by the client, venue, guests, or vendors do not automatically extend the rental period. Additional hours may be available for an additional fee and are subject to availability. Safety: The client is responsible for ensuring guests use the dance floor safely. All Moments Captured LLC may stop use if the equipment is being used unsafely or may be damaged. Setup & Pickup: All Moments Captured LLC will handle delivery, setup, and breakdown unless otherwise agreed. The client must ensure the location is accessible at the scheduled setup and pickup times. Additional fees may apply for extended wait times caused by the client, venue, or vendors. Liability: All Moments Captured LLC is not responsible for injuries resulting from improper, reckless, or unsafe use of the dance floor.
